How real-time availability works

Understand how availability is calculated so guests never double-book a site.

4 min read

ResortTribe checks availability in real time against confirmed reservations. When a guest searches dates, only sites that are genuinely open for the full stay are offered, which prevents double-bookings.

What affects whether a site shows as available

  • Existing confirmed reservations that overlap the requested dates
  • Whether the site is marked active and bookable in the admin panel
  • Maximum occupancy and the party size the guest entered
  • Any maintenance hold placed on the site by your staff

Because availability updates the moment a booking is confirmed or cancelled, the calendar your staff sees always matches what guests see online.

If a site should not be booked, mark it inactive or add a maintenance hold rather than deleting it, so its reservation history stays intact.
